Automating different meal plans and session-wise food preparation in front office reservations can be facilitated through the integration of a property management system (PMS) with a restaurant management system (RMS) or a point-of-sale (POS) system. Here's how it can work:

 

1. Integration of PMS and RMS/POS: Ensure that your PMS is integrated with the RMS/POS system used in your hotel's restaurant or dining facilities. This integration allows for seamless communication and data sharing between the front office and food service departments.

 

2. Configuring Meal Plans: Within the PMS, set up different meal plans (e.g., breakfast, lunch, dinner) and associated pricing for each plan. Define the session timings for each meal plan, such as breakfast from 7 am to 10 am, lunch from 12 pm to 2 pm, and dinner from 7 pm to10 pm.

 

3. Guest Selection of Meal Plans: Duringthe reservation process, guests can choose their preferred meal plans based onavailability and their reservation type (e.g., room-only, bed and breakfast,all-inclusive). This information is captured in the PMS along with the guest'sreservation details.

 

4. Communication with Food Service Department: Once a guest checks in, the PMS triggers a communication to the food service department regarding the guest's selected meal plan and session timings. This communication can be in the form of automated notifications or reports generated by the PMS.

 

5. Food Preparation and Marking: The foodservice department receives the information about the guest's meal plan and session timings. They can then prepare the meals, accordingly, ensuring that the guest receives the designated meal during the specified session.

 

6. Meal Tracking and Guest Verification: As guests arrive at the restaurant or dining area for their meals, the foodservice staff can use the PMS or POS system to mark the guest's presence and record that they have taken their meal. This can be done by updating the guest's status in the system or through digital checklists.

 

7. Real-Time Reporting and InventoryManagement: The PMS tracks and records the number of guests taking each meal inreal-time. This data can be used for reporting purposes, such as generatingreports on meal consumption, guest preferences, and revenue analysis. It alsohelps with inventory management, ensuring adequate food supplies are availablefor each meal plan.

 

8. Billing and Payment Integration: If mealplans are included in the guest's reservation package or if there areadditional charges for specific meal plans, the PMS can handle billing andpayment integration. This ensures that the guest's meal charges are accuratelyincluded in their overall bill and can be settled during check-out.
